WhatsApp Away Message: Setup, Examples, and Testing

Learn how to set up a WhatsApp away message, choose schedules and recipients, write clear examples, test the rule, and troubleshoot common issues.

Customers do not always message during your opening hours. A clear WhatsApp away message can acknowledge an inquiry while you are closed, on vacation, or temporarily unable to respond—and tell the customer what to expect next.

This guide covers the native feature in the WhatsApp Business app. You will learn what to prepare, how to configure the message on Android or iPhone, how to choose a schedule and recipients, how to test the result, and when a static reply is no longer enough.

An away message is not a scheduled follow-up, broadcast, reminder, or proactive message. It is a preset response to an incoming message during a period when you are unavailable. It also requires an internet connection and cannot start a conversation with a customer.

Before you set up your WhatsApp away message

You need:

  • An active WhatsApp Business account, not the standard personal WhatsApp Messenger app.
  • Access to the phone or account where your business messages are managed.
  • A current version of the WhatsApp Business app.
  • Accurate business hours if you plan to use the “Outside business hours” schedule.
  • The exact time, date, or next business day when you expect to respond.
  • A monitored alternative channel if you plan to include a phone number, email address, booking link, or urgent contact.

Decide which situation you are solving first. For example, you might need a message every evening, a reply only during a holiday closure, or a temporary notice while you are working on-site and cannot check your phone.

Keep the promise realistic. A message that says “We will reply tomorrow” is not accurate if tomorrow is a weekend or holiday. Also avoid suggesting that WhatsApp will send a later reminder or scheduled message; the away feature does not do that.

The native feature works well when you mainly need to say, “We are unavailable and will respond later.” If customers need answers to product, service, booking, or support questions while you are away, you may need a broader process than one static message.

How to set up a WhatsApp away message

The labels can differ slightly between Android, iPhone, and app versions, but the setup path is broadly the same. WhatsApp Business setup guidance described by YourBusinessNumber, Intelli Concierge, and Plivo uses the following flow.

  1. Open WhatsApp Business. On Android, tap the three-dot menu and open Business tools. On iPhone, open Settings, then Business tools.
  2. Select Away message.
  3. Turn on “Send away message.” If the toggle is already on, review the existing text and schedule rather than assuming the settings are current.
  4. Write or edit the message. Keep it short enough to understand at a glance.
  5. Choose a schedule. Select Always send, Custom schedule, or Outside business hours.
  6. Choose recipients. Depending on the current app version, you may be able to select everyone, people who are not in your address book, everyone except selected contacts, or only selected contacts.
  7. Save the settings. Confirm that the away-message toggle remains enabled and that the selected schedule and recipient rule are still displayed.

Choose the right schedule

Always send is appropriate for an extended closure, annual leave, or a period when nobody can monitor the account. Remember to turn it off when normal service resumes.

Custom schedule is useful for a defined period, such as a holiday, training day, event, or temporary closure. Include both the closure date and the reopening date in the message so customers are not left guessing.

Outside business hours is usually the best choice for a regular evening or weekend message. It uses the hours in your WhatsApp Business profile, so review those hours before relying on the setting. If your business serves customers in different locations, include the relevant time zone in the message and make sure the schedule reflects the team that actually answers the account.

Choose recipients carefully

For a dedicated business number used only by customers, everyone may be the simplest option. If the account also includes suppliers, friends, or personal contacts, recipient exclusions can prevent an inappropriate out-of-office message.

Test both a saved contact and an unsaved number if filtering matters. A contact may receive—or not receive—the message based on the recipient category you selected.

Five-step process for configuring and testing a WhatsApp Business away message

The setup flow: prepare, configure, choose rules, save, and test.

What to write in a WhatsApp away message

A useful message normally has four parts:

  1. A brief acknowledgment that the customer reached the right business.
  2. Your current availability, such as “We are outside our business hours.”
  3. A realistic expectation for when you will respond.
  4. One useful next step, but only if the linked channel or contact is genuinely monitored.

Everyday after-hours example

Thanks for messaging [Business Name]. We’re currently outside our business hours, Monday–Friday, 8 a.m.–6 p.m. We’ll reply on the next business day.

Temporary closure example

Thank you for writing to [Business Name]. We’re closed through [date] and will reopen on [date]. We’ll respond to your message when we’re back.

Urgent-help example

Thanks for your message. We’re currently unavailable and will reply during our next opening hours. For urgent issues, call [number].

Use the urgent version only when someone actually answers that number or follows a reliable emergency process. Do not direct customers to an unattended inbox simply to make the message look more helpful.

If customers may be in different regions, add a time zone:

We’re currently closed. Our team is available Monday–Friday, 9 a.m.–5 p.m. Eastern Time, and will respond on the next business day.

Keep the tone consistent with your normal customer service. A local service business may sound warm and conversational, while a professional firm may use more formal wording. In either case, avoid vague promises such as “We’ll get back to you ASAP” unless you can consistently meet that expectation.

Do not ask an automatic reply for passwords, payment card details, verification codes, or other sensitive information. Do not confirm that a payment, booking, or order has been completed unless a person or connected system has verified it.

Away messages versus other WhatsApp Business tools

An away message handles periods when you are unavailable. A greeting message welcomes eligible contacts, such as new contacts or people returning after a period of inactivity. Quick replies are saved responses that a person selects manually while handling a conversation. They are shortcuts, not fully automatic answers to every incoming question.

For example, your away message might say that you will reply Monday. When you return, a human can use a quick reply about pricing or opening hours—but should still review the customer’s question before sending it.

Test the message before relying on it

Saving the setting is not the same as proving that customers will receive the expected response. Run this test:

  1. Use a separate WhatsApp account, or ask someone outside the intended recipient group to message the business.
  2. Send the test during the active away period.
  3. Confirm that the exact message arrives.
  4. Check the business name, opening hours, dates, time zone, spelling, links, and phone numbers.
  5. Test a saved contact and an unsaved number if your recipient rule distinguishes between them.
  6. Send another test outside the active period, if practical, and confirm that the away message is not sent then.
  7. If you use a custom closure schedule, set a reminder to update or disable it when the team returns.

The expected result is precise: during the selected away period, a qualifying sender receives the static message; outside that period, the away message does not appear. The account must also have a working internet connection. A phone that is offline can make a correct configuration appear broken.

Verify both sides of the rule: the message appears when it should and stops when it should.

WhatsApp away message troubleshooting

No away message is sent

Check that Send away message is enabled and that the current time falls within the selected schedule. If you selected Outside business hours, review the business hours in the profile. Then check the phone’s internet connection and test again with a sender who matches the recipient rule.

The message is sent at the wrong time

Review the phone’s date, time zone, and daylight-saving settings. Then check the business hours and any custom schedule in WhatsApp Business. If the business has changed locations or serves multiple regions, confirm which local time the account is using.

Some customers receive it but others do not

Review recipient exclusions. A rule aimed at people who are not in your address book may not behave as expected when you test with a saved contact. Conversely, a selected-contact rule will not apply to everyone who messages the account.

Customers are receiving an old closure notice

Update the message immediately and disable the custom schedule when the business reopens. An old holiday or vacation message can make an active business appear closed or inattentive.

Customers keep asking questions the message cannot answer

That is a limitation of the native feature, not necessarily a setup error. An away message sends the same preset response according to its rule; it does not understand the customer’s question or provide an ongoing conversation. Add a genuinely useful, monitored next step, or have a person take over when the team is available.

When a static away message is no longer enough

Comparison of a native WhatsApp away message and Andy AI replies

A native away message acknowledges availability; AI replies can handle supported questions before a person takes over.

Keep the native WhatsApp Business feature if your main need is a simple acknowledgment such as “We’re closed; we’ll reply Monday.” It is a practical fit for a solo operator or small team that handles the detailed response manually later.

Consider a more capable workflow when customers repeatedly ask questions after hours, expect answers about your services, or need a clear path to a human. That is where Andy Partner can fit: Andy provides AI replies on WhatsApp through Direct WhatsApp or the Official WhatsApp API, and your team can take over when a conversation needs human attention.

Andy should not be treated as a way to send WhatsApp templates, broadcasts, reminders, or scheduled messages. It cannot start conversations with customers. Its value is in responding to incoming conversations within the capabilities and knowledge you configure, rather than sending one identical away notice to every qualifying contact.

If you only need an after-hours acknowledgment, the native feature may be enough. If you want supported AI answers on incoming WhatsApp conversations and a human takeover path, you can learn more about Andy Partner’s WhatsApp auto replies, start the 14-day free trial, or contact the team.

Completion check

Your setup is complete when all of these statements are true:

  • The away-message toggle is on.
  • The wording accurately describes when you are unavailable.
  • The schedule matches your real business hours, closure dates, and time zone.
  • The recipient scope is intentional.
  • A separate test account received the expected message during the active period.
  • The message did not appear outside the active period, or you understand why the test could not verify that condition.
  • Every alternative contact, link, or urgent channel in the message is genuinely monitored.
  • You have a reminder to update or disable the message when availability changes.

Success does not mean promising an automatic future reply. It means customers receive a clear, honest expectation instead of silence. Review the message whenever your hours, holidays, response capacity, or contact channels change. If customers need real answers while you are away, take the next step with Andy Partner’s 14-day free trial or contact the team to discuss supported WhatsApp AI replies and human takeover.
